TERMS & CONDITIONS

The below terms and conditions relate to in-person cycle coaching / training / led-rides delivered by Eager Cycle Coaching aside from sports-based group sessions, which must adhere to British Cycling's Policies & Procedures (and require a separate British Cycling Rider Information and Consent Form - downloadable from this site).

 

Part 1: Terms and conditions for riders aged 18 years & over who are attending Eager Cycle Coaching sessions / led-rides:

Riders are required to consent to take part in Eager Cycle Coaching's training in safe, effective cycling and / or led-rides in accordance with the following conditions:

 

Except in rare cases where the coach supplies a cycle, the rider understands that:

  • The coach may refuse to train or ride with them if they deem their cycle to be unroadworthy, and;

  • It remains the rider's responsibility not to use an unroadworthy cycle.

  • The coach may make minor adjustments to their cycle where agreed.

In addition, the rider accepts, understands and agrees that:

  • The specific rider information provided in the booking form must be correct and completed to the best of their knowledge.

  • They must endeavour to treat their coach and other riders in the group (if present) with respect at all times.

  • They will participate in the coaching / led-rides in a safe manner and follow the coach's instructions.

  • The coach may at any time refuse to continue to train them or allow them to join rides if their behaviour or ability level is deemed to be unsuitable.

  • They will be open to receiving support from the coach in the session / led-ridebut they also take part in the training and rides at their own risk and they will be responsible for themselves and their equipment when cycling.

  • They agree to ride in a considerate manner that complies with the British Highway Code.

  • The coach is not responsible for any injury or any loss or damage to any property which is not caused by their negligence.

  • Having taken part in training or led-rides it does not necessarily follow that it is safe for them to cycle in all environments.

  • They will make the coach aware of any medical / health conditions including allergies or dietary issues or additional needs that they have that may adversely affect their training or ability to cycle.

  • They will share details with the coach regarding any medication (such as inhalers for asthma, EPI pens, or other) that they must take with them when attending the coaching. 

  • If they have any concerns about participating in cycle coaching sessions / led rides, they should consult with their GP before booking the session.

  • If their coaching / led-rides is funded by an organisation (such as an employer) then their personal details may be given to this organisation if it wishes to find out information about the training.

  • They will share (verbally or in writing) if they are or are not happy for photos or film of their training / led-rides to be taken and used by Eager Cycle Coaching for marketing purposes.

  • Information provided to Eager Cycle Coaching when booking coaching sessions / led-rides will be stored, processed and destroyed in accordance with Data Protection Act 1998 guidelines.

Part 2: Terms and conditions for parents / guardians for riders aged less than 18 years who are attending Eager Cycle Coaching sessions / led-rides:

 

When booking coaching sessions / led-rides by Eager Cycle Coaching, parents / guardians of riders aged under 18 agree for them to take part in training in safe, effective cycling and / or led-rides in accordance with the following conditions:

Except in rare cases where the coach supplies a cycle, the parent / guardian understands that:

  • The coach may refuse to train or ride with their child if they deem their cycle to be unroadworthy, and;

  • It is their responsibility not to provide an unroadworthy cycle for their child.

  • The coach may make minor adjustments to their child's cycle where agreed.

  • They will, unless under exceptional circumstances agreed with the coach, supply their child with an approved cycle helmet which they will wear during training.


The parent / guardian also accepts, agrees and understands that:

  • The specific rider information provided in the booking form must be correct and completed to the best of their knowledge.

  • Eager Cycle Coaching's lone working policy means that coaches working alone are unable to work on their own with a sole rider under the age of 18; in such cases, another rider or a supervising adult will also need to be present. A parent / guardian / supervising adult will always need to be present for led-rides.

  • Their child will be appropriately dressed for training / led-rides.

  • Should their child bring personal belongings along to the training / led-rides, it will not be the responsibility of the coach to look after these.

  • They will reiterate to their child that they will need to participate in the coaching / led-rides in a safe manner and follow the coach's instructions.

  • The coach may refuse to continue to train their child or allow them to join group rides if their behaviour or ability is deemed to be unsuitable.

  • The coach will always endeavour to support and safeguard their child in the coaching sessions / led-rides as best as they can; but they are also not responsible for any injury or any loss or damage to any property which is not caused by their own negligence.

  • Having taken part in training / led-rides it does not necessarily follow that it is safe for their child to cycle in all environments.

  • They will make the coach aware of any medical / health conditions including allergies or dietary issues or additional needs that their child has that may adversely affect their training or ability to ride.

  • They will share details with the coach regarding any medication (such as inhalers for asthma, EPI pens, or other) that must be taken along to the session / led-rides and make arrangements for this.

  • If they have any concerns about their child participating in cycle coaching sessions / led-rides, they should consult with their GP before booking the session.

  • They will share (verbally or in writing) if they are or are not happy for photos or film of the training to be taken and used by Eager Cycle Coaching for marketing purposes.

  • Information provided to Eager Cycle Coaching when booking coaching sessions / led-rides will be stored, processed and destroyed in accordance with Data Protection Act 1998 guidelines.

CANCELLATION POLICY

The following cancellation policy is for one-to-one, group or family sessions (the cancellation policy for led-rides is set out in the booking process for that service):

 

We kindly ask customers to do everything they can to avoid late cancellations, which can leave us unable to replace lost work.

​

For sessions / led-rides that require payment, when you book a session, it will be confirmed when you make the payment for the session. If, due to unforeseen circumstances, you later need to cancel the session and you provide us with sufficient notice, we will be able to refund your session fee (minus £2 due to money we will have lost in transaction fees). However, if you cancel your session within 5 days (120 hours) of the session start time, we are afraid that we will be unable to refund your session fee.

In view of the above policy, if you unfortunately need to cancel your session, we ask you to get in touch with us as soon as possible.

​

If you have a friend or family member who would be able to attend in your / the relevant rider's place, then this will be fine with us so long as they complete the relevant consent form prior to attending.

 

If, for any unforeseen circumstances, we are unable to deliver your session (such as due to your instructor / coach being unwell), we will refund any session fee in full and where possible prioritise the rescheduling of your session at the next opportunity.

Cancellations for poor weather:
It's very rare that sessions / led-rides need to be cancelled for poor weather. Through riders and coaches dressing appropriately for their sessions, it is expected that training sessions will still take place in temperamental weather such as sporadic or light rain. However, sessions can be rescheduled (free of charge to the customer) in the following situations:

  • When there is persistent and heavy rain forecast for the session.

  • If there are weather warnings such as for high winds / gusts.

  • Extreme hot or cold weather.

  • Icy or snowy conditions.

​

We kindly ask that you do everything you can to attend any session that you've booked with us, and if you have concerns about your ability to attend, then please get in touch with us as soon as you can.
